Admission

1.      Admission to Impact Academies & Camps is subject to the availability of centers, tutors, courses and the suitability of students.
2.       Impact Academies & Camps may refuse admission to any student it deems reasonably unsuitable for the course.
3.      Impact Academies & Camps may choose to hold an assessment session before enrolling a student in a course and has the right to charge for this service.
4.      Participation in a trial session does not guarantee a place on a course.
5.      Due to limited space, Impact Academies & Camps often operates on a "first come, first served" basis. The center reserves the right to allocate a reserved spot to another student if full payment has not been received.
6.      A place in the course is only confirmed once full payment for the course has been received (or in some cases, when the registration fee has been received).
7.      Impact Academies & Camps reserves the right to cancel a confirmed booking (even after full payment) for reasons such as, but not limited to, overbooked sessions, tutor availability, or unforeseen circumstances.
8.      No student can be admitted until the registration form has been completed, and the terms and conditions have been signed by a parent or legal guardian and returned to Impact Academies & Camps.

Costs

9.      Impact Academies & Camps does not bind parents to a contract for agreed monthly payments.
10.  Students/parents are free to stop payments at any time, without any obligation to make further payments for future courses or sessions.
11.  If a parent/student decides to stop payments, Impact Academies & Camps has the right to withdraw the student from the course and demand payment for any unpaid sessions already completed.
12.  Withdrawal from the course is only accepted after written confirmation from the parent/student, informing Impact Academies & Camps of their intention to withdraw from the course.
13.  If a parent/student decides to withdraw from a course (by written statement or otherwise), then decides to rejoin the course, Impact Academies & Camps reserves the right to request full payment for the sessions missed in the interim.
14.  Impact Academies & Camps does not offer any discounts or refunds for missed classes.
15.  If Impact Academies & Camps has agreed with a parent to make payments after training and the payments are not made within the agreed timeframe, Impact Academies & Camps has the legal right to claim any outstanding balance, as well as the costs for such proceedings.
16.  The center reserves the right to cancel a student's place in a course if full payment (or an agreed payment plan) has not been made.
17.  No payments made to Impact Academies & Camps are refundable.
18.  Sometimes, Impact Academies & Camps may offer catch-up courses, such as private lessons or holiday camps. Impact Academies & Camps may charge for these services. If Impact Academies & Camps does not charge for this service and a client withdraws from the course before making full payment, Impact Academies & Camps will have the right to request payment for the catch-up classes initially offered free of charge.
19.  The parent/student can pay the full amount of the course (4 lessons / 12 lessons / 36 lessons).

Online sessions

20.   Online sessions refer to studying a course outside of Impact Academies & Camps premises.
21.   Students or their tutors are responsible for ensuring they have access to the necessary hardware and software to study the course. This includes, but is not limited to, computers, laptops, monitors, applications, programs, internet connections, headphones, microphones, and equipment. All costs are the responsibility of the student or their tutor. Impact Academies & Camps is not responsible for covering these costs.
22.   Students or their tutors are responsible for ensuring that a stable internet connection is available when participating in online courses.
23.   Students should be in a quiet room, away from any distractions or noise.
24.   Parents may need to be present to help students with any technical difficulties.
25.   Tutors or representatives of the Academy have the right to mute or remove students from online classrooms if they reasonably believe it is in the best interest of the company or other students.

 

Authority, suspension and expulsion

26.   Impact Academies & Camps reserves the right to take any measures it deems reasonably necessary to maintain discipline and ensure the safety and well-being of staff, students, and equipment.
27.   Impact Academies & Camps reserves the right to suspend or withdraw any student whose attendance, work, or behavior is, in their reasonable opinion, unsatisfactory. In such circumstances, Impact Academies & Camps is not obligated to refund fees and has the right to demand payment for any unpaid sessions already completed.

 

Annual payments

28.   Annual payments, including registration and course fees, must be made in full before the start of the course, unless otherwise agreed.

Price packages

29.   We offer packages for 1 month (4 lessons), 3 months (12 lessons), and 9 months (36 lessons). All prices are listed on our website and are subject to change.
30.   Monthly and quarterly payments must be made before the start of the course. For the 9-month package, payment can be made in 2 installments (optional).
31.   Impact Academies & Camps charges late payment fees. Please see the section below for "Late Payment Fees".
1.      Impact Academies & Camps reserves the right to withdraw students if a payment is missed.
2.      It is your responsibility to ensure that standing order payments are made regularly. Please contact your bank to set up the standing order.

Direct debits

1.      By setting up a direct debit, you give your consent to Impact Academies & Camps to initiate a payment or series of payments on your behalf.
2.      The default payment frequency is once a month; however, the exact frequency will be displayed when setting up your direct debit plan.
3.      The amount to be debited from your account will be displayed when you set up your direct debit plan.

Late fees

37.   When a direct debit is cancelled and we cannot collect your payment before the 5th of the month, a late payment fee of €20.00 will be added to your account. The late payment fee applies to each overdue monthly payment: for example, 1 month late = €20.00, 2 months late = €40.00, 3 months late = €60.00, etc. For payments that are 2.4 months overdue, the months will be rounded up and the late payment fee applied accordingly.

Financial difficulties

38.   If you are having trouble making your agreed payments, please contact a staff member at 0469 62 31 64 or email gent@impactacademies.be . Please note: if we do not hear from you before your payment due date, late payment fees will be applied.

Photography and video recording

 

39.   From time to time, Impact Academies & Camps takes photos, videos, audio recordings, interviews, written opinions and comments from the children during their time with us.
40.   This content is solely for advertising and marketing purposes and may appear on third-party media such as websites and leaflets.

Personal property

43.   Students are advised not to bring valuables.
44.   Impact Academies & Camps is not responsible for the loss or damage of any personal property.

Data processing

 

Ensure that your data is processed fairly and lawfully. We will only process information when:
45.   the law allows us to do so, or
46.   you have given your consent, or
47.   we received a court order

Ensuring the security and accuracy of your personal information

48.   Impact Academies & Camps ensures that the information held on our computer systems and in our paper files is secure in order to protect against unauthorized or unlawful processing or accidental loss, destruction or damage of personal data.
49.   In order to perform its functions, Impact Academies & Camps may receive information about you from other people or give information to others, but we can only do so in accordance with the law.
50.   Any third party from whom we receive personal data or to whom we transmit personal data is also required to comply with data protection law.
51.   Impact Academies & Camps only collects and records the personal information necessary to perform their functions, nothing more.
52.   The information we record is based on facts and, when an opinion is recorded, it is relevant and substantiated.

Data sharing

53.   Impact Academies & Camps will only share personal data with organizations legally required to share it, and where sharing personal data is necessary, we will comply with data protection law.

Information retention

54.   We will only retain information if there is a business need for it. It will not be kept longer than necessary for that purpose.
